1. Reservations & Confirmation
All safari bookings are subject to availability at the time of confirmation. A booking shall only be considered confirmed upon receipt of the required deposit and written confirmation from Palglade Ventures. Accommodation, flights, park permits, and other services are secured only after the required payment has been received.
2. Deposit & Payment Terms
A deposit of 40% of the total safari cost is required to confirm and secure all reservations. The balance payment must be received no later than 45 days prior to arrival unless otherwise agreed in writing. Bookings made within 45 days of travel require full payment at the time of confirmation.
Payments may be made via:
- Bank Transfer
- Secure Online Credit Card Payment
Please note that credit card payments may attract additional processing charges imposed by the payment provider.
3. Safari Rates
All safari quotations are based on current rates and tariffs provided by hotels, lodges, camps, airlines, conservancies, and national parks. Palglade Ventures reserves the right to adjust prices due to:
- Government tax increases
- Park fee revisions
- Fuel surcharges
- Currency fluctuations
- Supplier rate changes beyond our control
Any increase will be communicated before final confirmation.
4. Cancellations & Refunds
All cancellations must be submitted in writing. Cancellation charges shall apply as follows:
- More than 60 days before arrival: 10% administration fee
- 60 – 31 days before arrival: 25% cancellation charge
- 30 – 15 days before arrival: 50% cancellation charge
- 14 – 7 days before arrival: 75% cancellation charge
- Less than 7 days before arrival or No Show: 100% cancellation charge
Please note that some flights, park permits, special events, gorilla permits, and certain accommodation bookings may be non-refundable and may attract higher cancellation charges. Any bank transfer fees, card processing fees, and refund charges shall be deducted from any refund due.
5. Changes & Amendments
Requests for changes to confirmed bookings will be accommodated where possible. Any costs arising from amendments requested by the client shall be borne by the client. Changes may be subject to supplier availability and revised rates.
6. Accommodation
Accommodation is provided according to the itinerary and category selected. Where circumstances beyond our control make a booked property unavailable, Palglade Ventures reserves the right to substitute it with a similar property of comparable standard.
7. Transportation
Safaris are operated using professionally maintained safari vehicles and qualified driver-guides. Vehicle types may vary depending on group size and destination but will be of a comparable standard to that confirmed at booking.
8. Wildlife Viewing
Wildlife sightings cannot be guaranteed. All animals roam freely within their natural habitats, and sightings depend on weather, migration patterns, vegetation, and other natural factors beyond our control. Guests are required to follow all instructions provided by guides, rangers, and park authorities.
9. Health & Medical Requirements
Guests are responsible for ensuring they are medically fit to travel. Any medical conditions, allergies, mobility concerns, or dietary requirements should be disclosed before travel. Palglade Ventures reserves the right to decline participation in activities where safety may be compromised.
10. Passports, Visas & Travel Documents
Guests are solely responsible for obtaining:
- Valid passports
- Visas
- Vaccination certificates
- Health documentation
- Any other travel requirements
Palglade Ventures shall not be liable for losses arising from incomplete or invalid travel documentation.
11. Travel Insurance
Comprehensive travel insurance is strongly recommended for all travellers. Insurance should cover:
- Medical expenses
- Emergency evacuation
- Trip cancellation
- Loss of luggage
- Personal liability
- Travel delays
12. Liability
Palglade Ventures acts as an agent for airlines, hotels, lodges, camps, transport providers, and other independent suppliers. While every effort is made to ensure the highest standards of service, Palglade Ventures shall not be liable for injury, loss, damage, delays, accidents, illness, theft, acts of negligence by third parties, or events beyond our reasonable control. Participation in safari activities is undertaken at the client’s own risk.
13. Force Majeure
Palglade Ventures shall not be liable for any failure to perform its obligations due to circumstances beyond its reasonable control including but not limited to:
- Natural disasters
- Extreme weather
- Political unrest
- Government restrictions
- Epidemics or pandemics
- Strikes
- Airline disruptions
- Security concerns
In such circumstances, we shall endeavour to provide suitable alternatives where possible.
14. Photography & Marketing
Unless otherwise requested in writing, Palglade Ventures may use photographs and videos taken during safaris for promotional and marketing purposes. Clients may request exclusion from such materials at any time.
15. Governing Law
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of the Republic of Kenya. Any disputes arising from these Terms & Conditions shall be subject to the exclusive jurisdiction of the Kenyan courts.
